DIFFERENCE BETWEEN TOOLS

Tag: Flexible label such as New Lead, VIP or Support Required.

Badge: Visible category or status marker.

Segment: Saved or managed audience used for campaigns, automation or reporting.

Filter: Temporary view that does not necessarily save the audience.

Custom Field: Structured value used as a segment condition.

Step-by-step instructions

  1. Define the business purpose.
  2. Create a short consistent name.
  3. Apply tags or badges to fictional test contacts.
  4. Create a segment using fields, labels or selected contacts.
  5. Preview matching contacts.
  6. Remove suppressed or unsuitable recipients.
  7. Use the segment for the intended campaign, automation or reporting purpose.
  8. Review and retire unused labels.

Best practices

Avoid dozens of overlapping labels. Use a naming standard. Do not use a tag as a substitute for a verified field when structured data is required. Review audience consent before promotional use.
