This chapter explains how authorized users manage customer conversations and CRM records from one operational workspace. Smart Inbox opens with All by default, then provides separate tabs for WhatsApp, Facebook Messenger, Instagram Messenger, Facebook Comments, Instagram Comments, Telegram and inbound Email where enabled.

  • Confirm the correct workspace.
  • Confirm the user role can access conversations.
  • Connect at least one supported channel.
  • Use fictional contacts for testing.

Step-by-step instructions

  1. Open Smart Inbox.
  2. Confirm All is selected.
  3. Review the channel badge and latest activity.
  4. Open a conversation.
  5. Review customer context before replying.
  6. Send a manual reply, reusable response, approved template or media.
  7. Use AI assistance only after reviewing the output.
  8. Add or update tags, fields, notes and assignment.
  9. Transfer or hand over when required.
  10. Set the conversation status and next follow-up.

Best practices

  • Start with Assigned to Me and Unread.
  • Read the previous conversation before responding.
  • Keep internal notes short and relevant.
  • Do not leave every completed conversation open.
  • Create a follow-up instead of using an open conversation as a reminder.
  • Use human handover for sensitive, private, regulated, urgent or final decisions.

TEST & VERIFICATION

  1. Send one test interaction through every connected source.
  2. Confirm each appears in All.
  3. Confirm each appears in the correct channel tab.
  4. Confirm the contact is created or updated.
  5. Test assignment, note, reply, media and handover.

A connected channel may have provider-specific messaging rules, approvals, charges and limits. Users should not expose customer data to unauthorized team members. AI suggestions must be reviewed when the message affects price, policy, stock, refund, approval, legal rights, health, safety, finance or other important decisions.
